The Accounting Assistant...

  • Handles all accounts payable invoice and credit card charges
  • Tracks all fleet activity and expenses
  • Manages time well and ensures deadlines are met
  • Communicates effectively with outside vendors and Heartland team members

Major Duties:

  • Processes check requests and expense reports on a regular basis.
  • Accurately reviews all invoices for appropriate documentation, approvals, and general ledger codes prior to processing, and processes vendor invoices.
  • Sort, date stamp, and prepare all incoming invoices for payment.
  • Processes payments accurately and meets all deadlines.
  • Performs monthly reconciliations.
  • Creates, updates, and maintains vendor records ensuring accurate addresses, W-9 tax designation forms, 1099 requirements, and due dates.
  • Maintains files and documentation thoroughly and accurately in accordance with policies and procedures.
  • Performs data entry associated with accounts payable.
  • Reviews and reconciles invoice discrepancies.
  • Audits and processes credit card bills.
  • Maintain fleet records, keeping list current when adding or retiring vehicles.
  • Obtaining documentation needed to license and tag new vehicles.
  • Filing annual reports related to fleet.
  • Reviewing fleet expenses for accuracy prior to processing the month-end allocation.
  • Track fleet maintenance schedules.
  • Desire and willingness to recommend improvements to current processes and to go the extra mile.
  • Addresses and responds professionally to all vendor and other customer requests for information related to all accounts payables responsibilities and transactions.
  • Immediately reports to supervisor any deviations occurring, or that have occurred, from company policies, accounting guidelines or legality in the Accounts Payable function and processes.
  • Performs additional duties as assigned.

Required Qualifications:

  • High school diploma or equivalent is required. Associate's degree in Accounting preferred.
  • Two (2) to Three (3) years of experience with accounts payable or general accounting.
  • Valid Kansas Driver's License is preferred, but not required.
  • Proficient computer experience, including Microsoft Office software (Outlook, Excel, Word, and some Microsoft Access) is required.
  • Ability to complete routine reports and other paperwork, as directed.
  • Ability to apply common sense understanding, and to carry out instructions furnished in written, oral, or diagram form.
  • Strong time management and organizational skills.
  • Knowledge of basic accounting principles.
  • High degree of attention to detail.
  • Strong problem-solving and resolution skills, basic accounting knowledge, and the ability to perform various mathematical computations quickly and with confidence.
  • Ability to communicate clearly and professionally through both verbal and written skills.
  • Ability to organize, multi-task, plan and set priorities with minimal supervision.
  • Ability to work independently and in team settings.
